We are looking for a Sales Support Associate. This is a full-time position reporting to the Sales Support Supervisor.

Job Summary

This position is designed to be the liaison between the sales department and all internal operations departments (i.e. Order Approval, Customer Service, Purchasing, Shipping, and Production).

Major Responsibilities/Activities

  • Sales Order Follow Up
    • Review all pending sales orders older than 2 weeks and back orders older than 3 weeks
    • Follow up with sales reps when pending payment, credit hold, and other status code orders have been sitting with no recent notes reflecting a reason
    • Follow up with Purchasing Department if back-ordered product does not have an open purchase order for stock
  • Assist sales staff with follow-up on dealer and credit applications
    • Identify missing information and notify sales rep for follow-up with customer
  • Provide forms and publications to dealers as requested
    • Email dealer applications, credit applications, spec sheets, and promotional incentives
    • Organize and maintain inventory of printed publications and supporting materials that can be mailed out to dealers at their request
  • Order Tracking
    • Coordinate with Shipping and Order Approval Department to confirm shipping dates and update delivery date field in order
    • Provide tracking numbers and possibly track shipped orders as customers request
    • Update Oracle if necessary on D/S dates and tracking numbers
  • Customer Service on open orders
    • Coordinate on some customer service issues that involve pending or open orders.
  • Contact vendors to ascertain D/S quotes when necessary
    • These quotes should be entered into Oracle as a DROPFRT item, and concise notes should be added for the Purchasing department
  • Dealer Referrals
    • Receive and process dealer referrals from vendors by sending out dealer application, welcome letter, and terms and conditions
    • Forward all non-dealer requests to reception for follow up
  • Order Entry
    • As needed to cover early mornings, vacations, lunches, etc.

Educational Requirements

High School Diploma

Professional Experience

Previous sales experience, administrative sales experience, preferred renewable energy products and Oracle experience

Applicant must be able to work in a fast paced environment, communicate to external and internal professional individuals and organizations, multitask, research techniques and uphold confidentiality and a professional demeanor.

Essential Physical Functions

Physical – typing on a keyboard, data entry, filing, may require lifting heavy boxes
Visual – reading and or research on a computer screen
Audio – inbound and outbound telephone calls, noise from the warehouse (office is located in a warehouse)

Equipment Used

Personal workstation; desk, computer, cell and/or telephone, file cabinet

Compensation

Compensation will be hourly. AEE Solar offers health insurance (including dental, vision, and a flexible medical spending account), a 401k plan, and paid vacation, sick days and holidays (11).

Additional Comments

Applicant must be a self-starter and work with little or no supervision. This position requires continual application of analytical research methods, precise calculations, the ability to "think outside of the box," and preparation for continual changes.
